12 Questions to Ask Before Hiring an AI Automation Partner

12 Questions to Ask Before Hiring an AI Automation Partner

An automation proposal can sound convincing while leaving the important risks unanswered. Impressive demos are easy. A dependable business system needs clear ownership, secure data handling, exception paths, maintenance, and a measurable reason to exist.

Use these questions before choosing a partner. Good answers should be specific to your workflow, not a tour of fashionable tools.

Questions about the problem

  1. What process would you automate first, and why? The answer should connect frequency, pain, revenue, and feasibility.
  2. What should remain human? A credible partner identifies judgment, empathy, approval, and risk boundaries.
  3. How will we measure success? Ask for a baseline and one or two operational outcomes, not vague promises of efficiency.

Questions about the design

  1. What happens when the automation fails? There should be alerts, retries where safe, and a manual path.
  2. How are unusual cases handled? Exceptions are part of the system, not a surprise after launch.
  3. Which tools are essential? Every subscription should have a clear job and owner.
  4. Can the system grow without a rebuild? Understand volume limits, data structure, and likely next stages.

Questions about data and control

  1. Where will our data be stored and processed? Know which providers are involved and what information they receive.
  2. Who owns the accounts, code, prompts, and documentation? Your business should not depend on credentials only the supplier controls.
  3. How are access and secrets managed? Shared passwords and keys pasted into documents are warning signs.

Questions about life after launch

  1. What maintenance is included? Ask who updates knowledge, integrations, and workflows when the business changes.
  2. How will our team be trained? Staff need to understand the normal path, the manual override, and how to report a problem.

Ask for a small proof before a large promise

A focused discovery or pilot should produce a process map, risks, a working end-to-end path, and a decision about what to build next. Be cautious when the first proposal is a large transformation with no baseline and no testable first stage.
